Both options work. If you are a sole trader sending a handful of emails a day, basic hosting email will do the job. If you rely heavily on email, need shared calendars, video calling, or the ability to access your email seamlessly across multiple devices, Google Workspace or Microsoft 365 is worth the monthly cost.

Step Three: Set It Up

The exact process depends on where you host your email, but the general steps are the same:

  1. Log in to wherever you manage your domain (your registrar or hosting provider)
  2. Find the email or DNS settings for your domain
  3. Create a new email address and set a password
  4. Configure your email client (phone, laptop, or browser) to send and receive from that address

Most hosting providers and email services have detailed step-by-step guides. If you are using Google Workspace, the setup wizard walks you through connecting your domain. The process is more straightforward than it sounds.

If you already have years of emails in your Gmail or Hotmail inbox, do not panic. You can import old emails into your new account, or simply keep the old address alive for personal use and start fresh with the new one for business.

Step Four: Tell People

Once your new address is set up, update it everywhere: your website, your social media profiles, your Google Business Profile, your invoicing software, any directories or trade listings where your business appears.

Send a brief email from your new address to your regular contacts letting them know you have updated. It does not need to be elaborate — a single sentence is enough. It also serves as an opportunity to remind people you exist, which is never a bad thing.

A professional email address will not win you jobs on its own. But combined with a solid website, a clear Google Business Profile, and genuine customer reviews, it contributes to the overall impression that you are a credible, established business worth trusting with someone's money.
